Safeguarding policy
We provide chauffeur transport. We do not provide supervision, chaperoning, escorting or care of any kind, and nothing in this policy should be read as offering such a service. What this policy does is set out how our chauffeurs are expected to behave, and what happens if a chauffeur becomes concerned about someone travelling with us. It was last reviewed on 27 August 2026.
Section 01
1. Purpose and limits of this policy
This policy explains our approach to the welfare of passengers during a journey and how concerns are escalated. It is a statement of conduct and process, not an offer of a supervisory service. Booking a journey with us does not place a child, a young person or an adult at risk into our care. Responsibility for the passenger remains with the parent, guardian, employer, carer or organisation who arranged the journey.

2. What we do not provide
It is important that this is unambiguous, because assumptions in this area cause real harm. If your requirement involves any of the following, a chauffeur service is not the right arrangement and you should engage a provider whose service includes it. Supervision or chaperoning of children or young people Escorting a passenger into a building, appointment, school or event and remaining with them Personal care, medical care or administration of medication Assessment of whether a passenger is fit to travel unaccompanied Assuming responsibility for a passenger after they have been set down at the agreed destination

3. Unaccompanied minors
A booking for a passenger under 18 travelling without an accompanying adult can only be accepted where an authorised adult contact is named at the time of booking, is contactable throughout the journey, and takes responsibility for the passenger at both ends of it. An adult must be present at the pick-up point to see the passenger into the vehicle and at the destination to receive them. Where nobody is present at the destination, the chauffeur will contact the authorised adult and will not simply set the passenger down alone. We do not accept bookings where the arrangement amounts to unsupervised care of a child. If in doubt, tell us the circumstances at the time of enquiry so we can say honestly whether we can help.

4. Bookings made on behalf of others
Where you book for someone else, you are responsible for making sure the arrangement is appropriate for them, including whether they can travel unaccompanied and be met safely at the destination. Please tell us at the time of booking anything the chauffeur needs to know in order to complete the journey safely, such as who will meet the passenger and how the chauffeur should make contact.

5. Adults who may be at risk
Some passengers may be vulnerable because of illness, disability, age, intoxication or circumstance. Our chauffeurs are expected to be attentive, courteous and patient, and to use common sense. That is a standard of conduct, not a substitute for appropriate support. Where a passenger needs assistance beyond courteous help with a door and luggage, that assistance should travel with them.

6. Expected conduct of chauffeurs
Chauffeurs are expected to behave professionally at all times, to keep conversation appropriate, to respect personal space and privacy, and to avoid any physical contact beyond ordinary assistance such as opening a door or handling luggage. Chauffeurs do not seek personal contact details from passengers, do not contact passengers privately after a journey, and do not photograph passengers or share journey details on social media.

7. Recruitment and documentation
Chauffeurs and partner operators are engaged on the basis of the documentation appropriate to the work they carry out. Requirements vary by authority and by journey type. Documentation relevant to a booking can be requested and will be provided where applicable. If your organisation has specific assurance requirements for a contract, raise them at the outset so the position can be confirmed in writing before work begins.

8. Recognising a concern
A concern may be something a passenger says, something a chauffeur sees at a pick-up or drop-off, or a situation that simply does not feel right, such as a passenger who appears distressed, disorientated or under the control of another person. Chauffeurs are not expected to investigate, interrogate a passenger or reach a conclusion about what is happening. They are expected to notice, to keep the passenger safe within the journey, and to report it.

9. Reporting and escalation
Concerns are reported internally without delay and recorded with the facts as observed, distinguishing clearly between what was seen or heard and what was inferred. Where there is an immediate risk to someone's safety, the chauffeur is expected to contact the emergency services first and report internally afterwards. No chauffeur will ever be criticised for calling 999 in good faith.

10. Referral to external agencies
Where a concern suggests that a child or an adult at risk may be being harmed, it is referred to the police or the relevant local authority, which are the bodies equipped to assess and act on it. We do not withhold a genuine concern because of the identity of a client or the sensitivity of a booking. Consent is not required before making a referral where withholding it would leave someone at risk.

11. Confidentiality and record keeping
Information relating to a safeguarding concern is shared only with those who need it, which normally means the person handling the report internally and the agency the referral is made to. Records are kept securely, handled under our data protection framework and not discussed with other passengers, colleagues who are not involved, or anyone outside the process.
Section 12
12. In-vehicle recording
Where a vehicle is fitted with recording equipment, its use is limited to safety and security purposes, and any resulting personal data is handled in line with our privacy policy and data protection framework. If you wish to know whether the vehicle allocated to your booking carries recording equipment, ask when you book and we will confirm the position for that journey.

13. Raising a concern with us
If you have a concern about the conduct of a chauffeur, or about the welfare of someone connected with a journey, tell us straight away on WhatsApp at +44 7775 554848 or through the contact page. Formal correspondence can be sent to [To be supplied]. Concerns of this kind are treated as urgent and are looked at immediately rather than in turn. If someone is in immediate danger, contact the emergency services first.
